Labelling machine handover documentation

A working machine is only part of a successful project. Operators and maintenance teams also need an accurate record of the delivered configuration, accepted settings and safe methods for running, changing and maintaining it. Build the handover pack during the project rather than trying to reconstruct it later.

Structure the pack around how the machine will be used

Separate documents by audience: operators need start-up, production, changeover, cleaning and normal fault guidance; maintenance teams need drawings, parts information, isolation and diagnostic detail; engineering and quality teams need the accepted specification, test records and change control history. A simple index should identify the latest approved revision of every item.

Record the machine description, site location, serial or project references available in the supplied documents, supported pack formats and the responsible contacts. Do not rely on filenames such as “final” or “latest”; use revision numbers or dates and retain superseded versions according to the site document-control process.

Capture the delivered mechanical and electrical configuration

The technical section should include available general arrangement and layout drawings, electrical and pneumatic information, device lists, sensor positions, recommended spare and wear parts, maintenance instructions and the final guarded arrangement. Where a drawing is not part of the supply, identify that clearly rather than leaving an unexplained gap.

Photographs can supplement drawings by recording guide positions, label threading, sensor alignment and cable routes, but they should be dated and tied to a defined format. A photograph without the product, label and setting reference can be misleading after later modifications.

Turn accepted settings into repeatable operating records

Create a format record for each launch SKU or representative product family. Include product and label identification, change parts, guide positions, label-head position, sensor set-up, recipe name, printer template and the visual acceptance sample. Record adjustments using existing scales or reference points rather than subjective instructions such as “move slightly left”.

Operating instructions should cover pre-start checks, normal start and stop, label-roll loading, product changeover, cleaning, routine inspection, common alarms and the approved restart sequence. Any task requiring safe isolation or maintenance competence should be clearly separated from normal operator actions.

Protect controls, recipes and print data

Retain the available control-program backup, HMI recipe backup, printer templates, vision recipes and relevant configuration files in a controlled location. Record the software or firmware information visible in the supplied system, the date of backup and the method required to restore it. Access credentials must be managed securely and should not be published in general operating documents.

For print-and-apply or connected lines, include the data-field map, source system, communication settings, label template approval process, error handling and reprint controls. The handover should show how the correct data is associated with the correct product and what happens when data is unavailable or rejected.

Close the project with traceable evidence

Keep the approved specification, FAT and site-acceptance records, deviations, open-action list, training attendance and final sign-off together. Each deviation should identify its disposition: accepted as supplied, corrected, scheduled or excluded from scope. Verbal agreements made during commissioning should be written into the record.

Attach the accepted product and label sample references and the method used to judge placement, print quality or barcode readability. This prevents later disputes caused by comparing production against an undefined demonstration result.

Assign document owners and update triggers

Name the person or role responsible for maintaining the pack after handover. Changes to products, labels, software, guarding, conveyors, sensors or operating methods should trigger a document review. Maintenance findings and recurring faults can also justify revised instructions or spare-parts holdings.
